Operations Support Officer

October 2025. Part-time (0.6fte). Permanent.
Role Summary
The post holder will be responsible for Medair UK’s financial and office administration, including maintenance of our CRM database and some fundraising support. You will ensure the accurate processing and timely delivery of donor and financial information and act as first point of contact for the organisation responding to supporter enquiries. You will also provide general office and IT support to the Head of Operations.
Project Overview
Medair UK is an affiliate of Medair. We actively raise funding and awareness to support the country programmes across the world in some of the most remote and difficult places on earth. The Operations team helps enable these activities by providing vital financial, operational and fundraising support.
Workplace & Conditions

Responsibilities
- Donation Processing – Ensuring all incoming donations are processed, recorded in our CRM and appropriately thanked. Recording Gift Aid declarations and processing regular claims.
- Financial Administration – Inputting all financial data into Quickbooks, processing supplier invoices and expense claims, banking cheques and assisting with reconciliations for monthly management accounts.
- Facilities & Office Management – Maintaining a tidy and safe working environment, responsible for basic IT, procuring office supplier and administrating risk assessments and fire/H&S procedures.
- Engagement Support – Being the first point of contact for supporters and assisting with virtual events. Producing various reports and analysis to assist fundraising activities.
- HR – Assisting with staff and volunteer inductions and supporting with staff training and organisation learning and development opportunities.
Qualifications, Experience & Technical Competencies
- Experience of office administration / financial administration
- Experience of Microsoft Office solutions, including Excel and Word; Internet and email proficient
- Experience of fundraising database(s) and finance packages, ideally Salesforce and QuickBooks.
- Experience of working in the charity sector
- Good English (spoken and written)

- Capable planner with attention to detail for data quality, accuracy and consistency
- Ability to handle a wide and varied workload and work on own initiative
- Able to work to tight deadlines
- Strong team player
- Clear spoken and written communicator.
